How Reactivation Differs from Recall

Recall outreach is normally used for patients who are due or overdue for a regular appointment. Reactivation is a lighter, more widely spaced workflow for patients who have been away longer. The goal is an administrative invitation to reconnect, not a clinical warning or a sales pitch.

The script bank in the Dental Recall System uses a neutral 12+ month reactivation category. Your practice should adapt the definition, contact timing, and permitted channels to its own policies, patient preferences, and local requirements.

A Practical 4-Touch Cadence

An optional Week 8 phone call is included for selected patients on a practice-approved priority re-engagement list. It is not intended for bulk outreach.

What the Scripts Sound Like

The included templates are warm, brief, and non-judgmental. For example: “We would love to welcome you back whenever you are ready.” Each message keeps the focus on scheduling and gives the patient a simple next action.

The full bank includes two phone scripts, two SMS templates, and two email templates. It also includes response branches for “not ready,” questions about cost or coverage, changed circumstances, and a request not to be contacted again.

Measuring Reactivation Results

The workbook tracks reactivation contacts and reactivation appointments booked. Its reactivation rate formula is: appointments booked divided by contacts, with a dash shown when no contacts have been entered. This gives the team a consistent operational measure without implying a benchmark or guaranteed result.

Handle Patient Information Carefully

Keep exported lists in approved secure storage, restrict access to authorised staff, and record only the minimum information needed for scheduling. Avoid unnecessary clinical details in messages, notes, exports, and AI tools. Remove working copies when they are no longer required under your organisation's policies.

Try the Scripts Before You Buy

The free sample includes 4 ready-to-use recall scripts—two phone scripts, an SMS and an email—plus a 3-touch cadence overview. It is a good way to see the format and test the approach with your front desk before committing to the full system.
