What the Workbook Tracks

The tracker is designed for a simple weekly rhythm: enter activity totals, review the calculated rates, and use the monthly dashboard to discuss trends. It is an operational workbook, not practice-management software and not a clinical record.

Which KPIs Matter for Recall and Reactivation?

You do not need to track dozens of metrics. For a front-desk team focused on patient retention and schedule management, a handful of KPIs cover the work that matters most:

Each rate formula returns a dash when its denominator is zero, avoiding false percentages. The workbook does not include performance benchmarks or guarantees.

Five Tabs, One Operational View

Using the Dashboard Week to Week

Assign one KPI owner to enter totals and review the workbook at a regular team check-in. Compare activity and rates over time, then discuss process changes only when the data and team experience point to a clear need. Because practices differ, set internal targets only after reviewing your own baseline and operating context.

Patient-Level Tabs and Data Handling

The Short-Notice List and Treatment Tracker may contain patient information. Follow your organisation's policies, use approved secure storage, restrict access to authorised staff, record only the minimum information needed, and remove entries when they are no longer required.

Use a non-clinical plan/reference number where possible and avoid unnecessary clinical details in free-text notes. The workbook is an operational aid; it does not replace your approved patient record or practice-management system.

Excel-Based, Not Software

The KPI tracker included in the Dental Recall System is an Excel workbook, not a SaaS product. There is no login, subscription, or integration. Excel is the intended format; if you import it into another spreadsheet application, check formulas, dropdowns, charts, and formatting before use.

See the Scripts That Feed the Tracker

The recall scripts and reactivation scripts provide the outreach templates; the workbook records activity and scheduling outcomes. The free sample includes 4 ready-to-use recall scripts—two phone scripts, an SMS and an email—plus a 3-touch cadence overview.
